Description

SUMMARY: 

Provides oversight and assessment of programs including basic needs, hunger relief, housing stability, family resource centers, workforce development, and the county expansion program. Collaborates closely with Deputy Executive Director, Programs, to analyze workflows, results, impact, reporting, funding, and recommend changes, particularly in context of strategic planning implementation. Builds and maintains relationships with program managers, especially Clinical Services director, County Expansion program director, to ensure consistent and cohesive program standards. Tracks program outcomes, client data, and staffing across assigned agency programs. The associate director provides oversight for all agency grant writing, working closely with administrative staff to ensure compliance with grant submission calendar and grant reporting is timely and meets requirements. Ensures compliance with stipulations of program contracts. Regularly interacts with the IT department to ensure program data is submitted, with appropriate reports generated, for the purposes of meeting grant requirements, securing funding for programs, and modifying program design. Ensures that ongoing and active relationships with funding partners are cultivated and maintained.

ESSENTIAL DUTIES:

  • Partners with Deputy Executive Director, Programs to develop and implement cohesion, synergies, refine services, build partnerships, and implement strategic planning processes throughout agency programs to ensure impactful mission-driven client services are provided. 
  • Troubleshoots and assesses program operations, staffing, and workload balance, to ensure priorities are managed timely and overall program key performance indicators are met, in concert with the agency’s strategic plan.
  • Assists Deputy Executive Director, Programs with regular visits to onsite program locations to preemptively address and resolve performance concerns, personnel issues, and assess team cohesion.
  • Hires, trains, and conducts performance appraisals of staff under direct supervision according to agency guidelines and established personnel policies, and reviews performance appraisals of all subordinate departmental staff conducted by their supervisor.
  • Ensures that all requirements are met in accordance with funding contracts, program guidelines, and agency policies and procedures.
  • Insures funding by institutions and corporate foundations through effective management of grant applications and reporting. Provides consultation to the development staff to prepare and submit charitable funding grant requests.
  • Works closely with the Deputy Executive Director, Finance, to submit reports required by funders; and ensures that funding contracts are executed in accordance with the policies and procedures mandated by the funding source.
  • Maintains ongoing and active networking with internal and external constituencies including other Catholic Charities agencies, other nonprofits, public sector service providers, government and civic entities, and educational institutions.
  • Stays abreast of changing community needs and evaluates all program design in the context of community needs and makes recommendations for program/service adjustments.
  • Analyzes and reports on activities on a weekly and monthly basis.
  • In collaboration with the Deputy Executive Director, develops and regularly reviews the department’s operating budget and progress towards established funding goals, and assists in preparation of following year’s budget.
  • Maintains an ongoing and active network with internal and external constituencies to ensure the highest performance of Catholic Charities programs.
  • Serve in place of Deputy Executive Director during absence.
  • Maintain accurate client/program records regarding services provided according to agency guidelines, using the database(s) provided by the agency and within agency time frame.
  • Actively participate in supervision sessions, periodic team meetings, and training.
  • Performs other duties as assigned.

Requirements

 Education and/or Experience

  • Bachelor’s degree in business, social work, nonprofit management, or related field.
  • 5 Years prior experience implementing programs, and assisting with design, oversight, and funding.
  • Knowledge/experience in the field of data collection and analysis.
  • Familiarity with institutional and corporate foundations.
  • Prior experience in a supervisory position.

Additional Skills or Requirements

  • Knowledge of public benefit/social service programs, service delivery, and reporting. 
  • Effective verbal and written communication skills.
  • Strong organizational and customer service skills.
  • Ability, interest, and willingness to work with diverse staff and clients.
  • Ability to analyze trends affecting programs, in order to adjust program design and delivery according to market conditions.
  • Ability to handle confidential information with professionalism
  • Ability to prepare reports, develop grant proposals, and work within established budgets.
  • Proficient with Microsoft Office applications.
  • Ability to learn databases, and other systems. You may list other databases required for this position.
  • Current driver’s license required. Ability to legally operate a motor vehicle and provide own transportation.
